Appointment reminder text templates for home service shops

Three texts cover most of what a customer needs to know before the tech shows up: the confirmation when the job is booked, the reminder the day before, and the on-the-way text. Write them once, load them into your field service software, and every customer gets the same clear message. This prompt writes all three with merge fields.

What to get right

  • Give a window, not a time. Say “between 10 and 12,” not “at 10.” Customers plan around the end of the window.
  • Tell them what to expect. Clear access to the furnace, water heater or panel, and pets put away. One line, not a list of rules.
  • Make rescheduling easy. A reply word or a number to call. A reschedule costs you less than a no-show.
  • Name the tech. A first name, and a photo link if your software supports it, makes it easier to open the door to a stranger.

The prompt

This is the Write booking confirmation and reminder texts workflow, word for word. Copy it, fill in the [brackets], and paste it into the AI tool your company uses.

Never paste: Customer addresses, phone numbers or emails, gate/lockbox/alarm codes, card numbers, or techs' personal phone numbers.
Write 3 texts: booking confirmation, day-before reminder, and tech-on-the-way.
Company: [name]
Details to include: [arrival window, tech first name + photo link, what to expect, how to reschedule]
Tone: [friendly, short]

Each under 300 characters. Use [placeholders] for merge fields.

How to use it

  1. Fill in the details you always include: window, tech name, what to expect, how to reschedule.
  2. Run the prompt and check each text fits the length your software allows.
  3. Swap the [placeholders] for your software’s merge fields.
  4. Send yourself a test of all three before turning them on.
  5. Add your service call fee sentence to the confirmation so it’s in writing.

Questions shops ask

How long should an appointment reminder text be?

Short enough to read at a glance. This prompt keeps each one under 300 characters. Some texting systems split longer messages into several texts, so check yours.

When should the reminder go out?

The day before for most appointments, plus the on-the-way text when the tech leaves the previous job. Avoid early-morning and late-night sends.

Can customers reply to these texts?

Only if your number accepts replies and someone checks them. If replies go nowhere, say “call us at…” instead of “reply to reschedule.”
