How to sell HVAC maintenance agreements at the kitchen table

The easiest time to sell a maintenance agreement is right after the tech has fixed something, when the homeowner has just seen what a visit is worth. The pitch falls flat when it sounds memorized or pushy. This prompt writes a 30-second version tied to what you did today, in words you’d actually say.

What to get right

  • Tie it to today. “The drain line we just cleared gets checked on every tune-up” beats a list of perks.
  • One benefit, not five. Pick the one that matters to this customer: priority in a heat wave, the repair discount, or not having to remember the tune-up.
  • Make “no” easy. A pitch that’s easy to decline doesn’t cost you the review or the next call.
  • Know your plan cold. Price, what’s included, how to cancel. If you hesitate on any of those, the homeowner will too.

The prompt

This is the Pitch the membership at the kitchen table workflow, word for word. Copy it, fill in the [brackets], and paste it into the AI tool your company uses.

Never paste: Customer addresses, phone numbers or gate/lockbox codes, card numbers, photos showing house numbers or family members, or the customer's financing info.
Write a 30-second membership pitch for me to say naturally.
Membership: [name, price, benefits]
This customer: [what we did today, equipment age, concerns]

Tie one benefit to today's visit, keep it conversational, make it easy to say no.

How to use it

  1. Fill in the plan name, price and benefits.
  2. Add what you did today, the equipment age and anything the homeowner worried about.
  3. Run the prompt and practice it once in the truck.
  4. Offer it when you present the invoice or the options, then stop talking.
  5. Note yes or no on the job so the service manager can track membership sales.

A tool that can help

Optional. The prompt works without any of these.

Questions shops ask

When should a tech offer the maintenance agreement?

At the end of the call, when presenting the invoice or the repair options. The homeowner has just seen the value of a visit.

How much should an HVAC maintenance agreement cost?

Price it from what the visits cost you to deliver (labor, drive time, filters and the discounts you promise), not from what a competitor charges. Our maintenance plan break-even calculator does the math with your numbers.

Should techs get paid for selling memberships?

Many shops pay a spiff per agreement. If you do, track renewals too, so the incentive rewards plans that stick.
